When I started helping with volunteer onboarding for New Life Community Care, I quickly realised how much time and effort was going into each new volunteer induction.
Each onboarding session was taking around 30 minutes per volunteer, requiring admin staff to repeat the same information over and over again. While this worked, it meant valuable time was being spent on repetitive training instead of supporting the community.
So I set out to create a digital volunteer induction system that could streamline the process, improve consistency, and give volunteers a better onboarding experience.

About New Life Community Care
This induction was created for New Life Community Care, a community organisation that has been supporting individuals and families since 2008.
Through their Foodbarn and broader community programs, they provide support, food assistance, and connection to people experiencing hardship, loss, and disadvantage. Their work is powered by a dedicated team of volunteers, making effective onboarding essential.
With many volunteers supporting operations each day, having a consistent and scalable induction process is critical to maintaining both efficiency and safety.
The Problem: Time-Heavy and Repetitive Onboarding
Before this system was introduced, each volunteer induction required one-on-one time with admin staff. While valuable, this approach created challenges:
- Time-consuming onboarding (30 minutes per volunteer)
- Inconsistent delivery depending on who was training
- Limited ability to track understanding or completion
- Admin time taken away from operational support
This is a common challenge across charities, small businesses and community organisations.
The Solution: A Digital Induction System
The goal was to create a system that volunteers could complete independently, either before arriving or on-site, while still feeling guided, supported and informed.
The result was a structured digital induction that combines video, training modules, quizzes and forms into one seamless experience.
What the Induction Includes
Structured Training Modules
The induction is broken into sections so volunteers can move through the content step by step, rather than being overwhelmed with information all at once.
Real-World Training Content
Slides include practical, real-world information such as safety procedures, emergency assembly points, and food handling guidelines.
Interactive Quizzes
Each section includes quizzes that volunteers must complete before moving forward. This ensures understanding and creates accountability.
Forms and Agreements
Volunteers complete forms and agreements digitally, including personal details and volunteer shopping agreements, with submissions automatically sent to the admin team.
Workplace Map
A custom workplace map was created to help volunteers understand the layout, safety points and key areas within the facility.

This project used a combination of accessible tools, showing how powerful simple systems can be when used together.
- Canva – presentation design and AI voiceover
- Formester – quizzes, forms and automated notifications
- ChatGPT – content refinement, scripts and planning
- Adobe Premiere Pro – video stabilisation
- Descript – video editing and voiceover scripting
- Transcription tools – converting audio into text

This system works because it transforms onboarding from a one-off conversation into a repeatable, scalable process.

Importantly, AI did not replace human input. It supported it. The final system still reflects the organisation’s values, processes and voice.
This is where AI is most powerful: not as a replacement, but as a tool that helps bring ideas to life more efficiently.
